Food retail

Cleaned up 18 months of BIR backlog for a 4-branch food retailer

Client: Multi-branch carinderia chainLocation: Cavite, PhilippinesEngagement: 3 months cleanup → ongoing monthly retainer

The challenge

Owner had grown from one branch to four in 2 years. Bookkeeping was on Excel, BIR filings were 18 months behind, and a Letter of Authority had just arrived. POS sales weren't reconciling against bank deposits and there was no visibility into per-branch profitability.

What we did

  • 1Migrated 24 months of POS data into QuickBooks Online with a per-branch chart of accounts
  • 2Reconstructed bank reconciliations and identified ₱340,000 in deposits previously unrecorded as revenue
  • 3Filed all backlogged 1601-C, 2550M/Q, 1701Q, and 1604-C, negotiated penalties under voluntary disclosure
  • 4Represented the owner before the BIR examiner during the LOA proceedings
  • 5Set up monthly closing cadence with daily POS upload and weekly bank feed reconciliation

"We finally know which branch is actually making money. The monthly P&L meeting takes 30 minutes instead of guessing for 3 hours."
